A4AUK will never exchange or sell your information to another organisation for its own marketing purposes. We know that this is important to you, and want to reassure you that you’re always in control of how we use your personal information in regards to marketing and fundraising activities.
We do, however, need to collect and use your personal information for carefully considered and legitimate business purposes, which help ensure we can run A4AUK efficiently, raise funds effectively, and deliver our charitable objectives.
We always strive to provide a clear, honest, and transparent approach regarding how and when we may collect and use your personal data, and this Policy sets out how your personal data will be used, what data we collect, and our legal basis for its use, along with outlining your rights with respect to personal data.
General Fundraising: Like all charities, we have a range of fundraising and marketing activities that are designed to raise income or promote the aims and objectives of the charity, including direct communications, face-to-face activity, newsletters (print, broadcast and digital) and social media promotions. These communications may include information about appeals, competitions, issues impacting the countries in which we work, sponsorships, events, or volunteering opportunities, as well as any other information we consider relevant or pertinent.
Most personal data we hold is given to us directly through out services, website, or fundraising activities. We may also receive personal information when you donate to us through third party services such as Charity Checkout, Virgin Money Giving, JustGiving or PayPal.
Donors and Fundraisers: If you wish to support us by donating, taking up a sponsorship or registering to fundraise for us, we will collect information including your name and contact details. We may also ask if you are able to claim Gift Aid on any of your donations (we can reclaim 25p for every £1 you donate, at no extra cost to you, if you are a UK taxpayer). If so, we will need your name and postcode.
Where appropriate, we may also ask for additional information to help us better tailor our communication: the provision of these is entirely optional.
We will use the information you provide to administer your donation and any Gift Aid, to thank you for your donation and/or to contact you about any other relevant matters.
Overseas Trips: A4AUK operates overseas trips to countries in which we work. If you sign up for one of these trips, we will collect information including your name, contact details and date of birth. We may also collect health and passport information and next of kin/ emergency contact details and, where appropriate, character and/or professional references.
This information is required to administer the programme and to ensure that travel and in-country activities can be managed safely and effectively.
Staff and Volunteer Administration: We process the personal information of our volunteers and employees for recruitment, staff administration, remuneration, pensions, and performance management purposes.
Lawful Processing: A4AUK will always process your data on a lawful basis. This may include sharing your personal details with the emergency services when we believe it is in your vital interests to do so, or when we are compelled by law to do so, as well as sharing details with partner organisations or event organisers, as appropriate. Full details of the circumstances in which we may legally process your data are available on request.
Data Collected: We collect and use personal information such as names and address details along with other contact information such as email addresses, telephone numbers and social media names. We also collect information about the services you use, any purchases or financial transactions you make with us, and any marketing contact preferences you give. In addition, if we claim Gift Aid on your donation, we will record the fact that you are a UK taxpayer and maintain a record of the amount of Gift Aid that we have claimed.
We may use these details to send you the information you have requested, as well as tailored communications. By providing us with this information you are agreeing to receive these communications, and you are free to unsubscribe at any time using the link they contain.
We adhere to the General Data Protection Regulation and only process sensitive personal information when it is absolutely necessary.
Credit or Debit Card Information: If you use your credit or debit card to donate to us, we will pass your card details securely to our payment-processing partner as part of the payment process. We do this in accordance with the Payment Card Industry Security Standard, and do not store the details on our website or databases.
Data Retention: We remove all identifiable personal data from our records as soon as we no longer need it to fulfil the purposes for which it was obtained.
Data Sharing: A4AUK will not exchange or sell your personal information to another organisation for its own marketing purposes.

You have the right to be told how your personal information will be used. This policy document, and shorter privacy notices used on our communications, are intended to be a clear and transparent description of how your data may be used.
You may submit a Subject Access Request to us at any time to see which information we hold on you, and to request a copy of that information. Once we are satisfied you have right to see the requested records, we will comply within 30 days.
You have the right to have your personally identifiable data deleted.
You have the right to ask for records concerning you to be updated.
In certain situations you have the right to ask for processing of your personal data to be restricted because there is some disagreement about its accuracy or legitimate usage.
